The Executive Assistant will provide executive-level support to the Chief Operating Officer (COO). This is a blended role providing both administrative and personal support to the COO increasing the executive time to be highly effective in executing the organization strategies. The person will report directly to the COO and will be based in Austin, Texas.
How you can make an impact:
- Maintain an accurate and detailed calendar for COO, manage and coordinate incoming scheduling requests without too much pressure on the COO.
- Proactively communicate changes, anticipate and respond to scheduling conflicts and ensure timely resolution of calendar questions/conflicts and escalate to executive for guidance as needed.
- Review daily meeting details to ensure agenda, and summary are included, and required participants have accepted at least 48 hours in advance.
- Handles high-level administrative duties by filtering what goes to the COO and what should be handled directly.
- Attend meetings as requested by COO, take minutes and distributed to attendees. May be requested to track COO’s tasks and projects to ensure appropriate prioritization of projects with respect to deadlines.
- Drafting communications, presentations, reports, and spreadsheets as requested. Act as proxy for communications and approval as authorized.
- Organize internal and external meetings for COO, including logistical preparation.
- Provide assistance with personal tasks, such as organizing personal appointments and events, and coordination of family events and appointments.
Qualifications
Bring your passion, here's what’s needed:
- Executive Assistant (EA) or equivalent experience; 10+ years experience in administrative environment. A minimum of 4 years supporting at an SVP level or higher.
- Have a customer service mentality to support COO and the organization as needed.
- Detail oriented, organized with proven ability to successfully multi-task and manage shifting priorities.
- You think creatively and calmly when it comes to quick and unplanned changes.
- Strong business acumen with verbal and written English communication skills.
- Outstanding interpersonal skills and preference for collaboration with proven success working with others; ability to work with high profile individuals externally, as well as collaborate internally.
- Ability to consistently apply good judgment and make good decisions.
- Ability to maintain confidentiality and discretion at all times.
- Proven analytical and problem-solving abilities.
- Organized with a proven ability to juggle multiple projects at once.
- Experience managing complex event logistics.
- Experience with domestic and international business travel arrangements, coordinating meetings and tracking credit cards and other expenses.
- Expert level knowledge of Windows desktop computer applications: Word, Excel, PowerPoint and SharePoint. Core competency in managing executive travel, email, calendar, and contact list/CRM.
- Prior experience within Consulting, Engineering or High-Tech Industry a plus.
This is a full-time position, and general hours are Monday through Friday, 8:00 a.m. to 5 p.m., with occasional need for flexibility to work beyond these hours.

Location: This position will be located in Austin, Texas
Travel: Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected.
